Guide to Completing a Disclosure Check
Child welfare is our number one priority and we expect all Kings Camps staff to share our commitment to safeguarding. All staff must therefore complete an enhanced disclosure check for the position. This is an essential part of the process, without which you will not be able to work and other staff may be given hours in your place until this is completed.

I need to apply for a new DBS check through The Kings Foundation
I am a Scottish Resident and I am a member of, or need to join the PVG Scheme with Disclosure Scotland
I have a current DBS certificate registered on the DBS Update Service
If you have a live, active registration with the Government DBS Update Service, great! We can perform an updated check online. To do so, we need:
- To have proof of your identity
- To see your original current certificate
- Your written permission to perform the update online (as it’s your personal information)
Stage 1 – Confirm who you are (Verify your identity)
We have to know who you are in order to do a background check on you. As we have camps across the UK, we appreciate that not all staff can visit our lovely Sheffield offices and so we instead offer an online service called Veri-fy. This service allows you to show proof of your ID to a local professional person in your own time and you can submit details of the meeting to us online.
How does it work?
- Prepare three valid forms of ID (for what to use, see Appendix 1 below)
- Click here to begin your form, list all your details and print your form
- Find and arrange to meet (in person) with a professional (such as a teacher) – they will be your ID checker. (For which professionals you can use, see Appendix 2 below)
- The meeting should take no more than 30 minutes, you’ll need a computer, your printed Veri-fy form and your 3 forms of ID
- During the meeting, pass your ID checker your Veri-fy form and 3 forms of ID
- Your ID checker will visit the Veri-fy website and input the unique codes on your form
- A summary of your details will appear, your ID checker will check your forms of ID, check the details match, check that your ID documents are valid originals, check that they’re still in date and that they belong to you
- Your ID checker will confirm if the details are correct and submit confirmation online
- Your ID checker should see a confirmation screen (contact us if the page times out or there is an error message as we won’t receive it!)
- Take your our ID home, we will receive all the information to process your DBS update
Note:
- For security, you only have 14 days to have your identity confirmed- after this, the data you have entered will be deleted and you will have to start again – so don’t delay!
- You cannot complete the form on the same computer or device or on the same server as your Identity checker (it will think you are trying to confirm your own ID)
- If your chosen professional advises there will be a change, we are unable to cover this cost.
- If you experience any problems with the Veri-fy process you can call their team on 0845 862 2633 (Option 4).
Stage 2 – Post your original certificate and permission
Once your ID check has been submitted, send your original DBS certificate to us in the post (we recommend recorded delivery so it doesn’t get lost) to:

You’ll need to include a short letter signed by you giving permission for one of our team to perform the update on your personal information.
We will then complete the updated check, save your details on file and return your certificate ASAP to the address on your Kings Recruit profile- and voila! you’re done.
I need to apply for a new DBS check through The Kings Foundation
Please follow the 3 stages below for a new disclosure application with Kings. All our DBS applications are processed by Disclosure Services and the cost is £53 which you will need to fund. You may also choose to sign up to the DBS Update Service (£13 annual subscription) so that your DBS check may be used with future employers. More information on the update service can be found at DBS-update-service. Kings will cover the cost of an initial DBS application for Voluntary, Site and Regional Management positions.
Stage 1 – Apply for a DBS Check
The process should take around 20 minutes. The application portal will time out after a few minutes of inactivity so you’ll need to have everything to hand. If you have difficulties with any part of the application, you can call Disclosure Services’ support line between 9am and 8pm on 01691 662255 or 07976 082099
Before you begin, you will need:
- To Read ‘Guide to Completing a Disclosure Services Web Application
- To have 3 valid forms of ID to hand (from Appendix 1 below)
- Your National Insurance Number
- Your address history from the last 5 years, including student addresses (If you are a student with term time addresses you must include this information within your application. More information and guidance can be found here).
- You must select ‘ENHANCED’ for the level of the check
- You must declare middle names
- On the final page, you’ll need to generate and print your Veri-fy form – keep this safe as you will need it for stage 2!

Stage 3 – Pay for your Disclosure Check
- Your disclosure application cannot be processed until you have paid
- To make payment, please call us on 0114 263 2155 (Mon-Fri 9am-5pm). Payment must be made via Credit or Debit card only)
- The cost for a DBS check is £53
- NOTE (for DBS applicants only) In addition to the costs noted above, you may also choose to sign up to the DBS Update Service (£13 annual subscription) so that your DBS check may be used with future employers. Please note you do not sign up with us or pay us for this service. More information on the update service can be found at DBS-update-service.
I am a Scottish Resident and I am a member of, or need to join the PVG Scheme with Disclosure Scotland
Scotland follows the PVG Scheme for disclosure checks. This is established by the Protection of Vulnerable Groups (Scotland) Act 2007. When you undertake regulated work with children for the first time you need to join the PVG Scheme. Joining the PVG Scheme costs £59. If you have already obtained a Scheme Record from another organisation, you need to apply for a PVG scheme record update with us. This costs £18.
Stage 1 – Apply for a PVG Scheme Record Update
Please call 0114 263 2155 or email contractingteam@kingscamps.org to request your application form. Please state if you are applying for the first time or if you are applying for an update.
Please note we will post the form to the address listed on your Kings Recruit profile so you must notify us of any change.
When you have received your application form in the post please read the notes carefully and apply for your check. Please do so as efficiently as possible and post the form back to:

Note: do not post back to disclosure Scotland as we need to first countersign your application once you have completed your ID check.

Once your ID checker has submitted your verify form and we have received your PVG application form in the post we will complete the Countersignature details and send the form to Disclosure Scotland for processing. after which, the PVG certificate will be issued to you directly in the post.
Appendix 1: List of Valid Identity Documents
Three documents must be seen in order to confirm your identity. You must produce one document from Group 1, plus two other documents from either Group 1 or from Group 2.
At least one document must confirm your current address and at least one document must confirm your date of birth. N.B: Internet generated documents are not acceptable
If you have a valid Passport and/or a valid Driving Licence, you must select these as one and/or two of your three identity documents.
Group 1
- Passport
- Driving Licence (UK) (Full or provisional) – either photocard or paper (a photo card is only valid if the individual presents it with the counterpart licence)
- Birth Certificate (UK)
Group 2
- Marriage/Civil Partnership Certificate
- Financial Statement – e.g. pension, endowment, ISA (issued within past 12 months)
- Adoption Certificate (UK)
- P45/P60 Statement (UK) (issued within past 12 months)
- Bank/Building Society or Credit Card Statement (issued within past 3 months)
- Utility Bill – electricity, gas, water, telephone (landline only) (issued within past 3 months)
- EU National ID Card
- Council Tax Statement (UK) (issued within past 12 months)
- Work Permit/Visa (UK) (issued within past 12 months)
- A document (issued within past 3 months) from Central/ Local Government/ Government Agency/ Local Authority giving entitlement (UK) e.g. from the Department for Work and Pensions, the Employment Service , Customs & Revenue, Job Centre, Job Centre Plus, Social Security.
Appendix 2: List of Accepted Professionals
We accept people in the following professions to verify your ID. (Note: this list may be subject to change and may differ to the list you see on Veri-fy):
- Barrister
- Certified or Chartered Accountant
- Dentist
- Doctor
- Legal Secretary employed by a practice registered with SRA
- Minister of Religion
- Nurse/ Midwife
- Optometrist or Dispensing Optician
- Paralegal employed by a practice registered with SRA
- Pharmacist
- Police Officer
- Regulated Person in the Financial Services Sector
- Solicitor
- Teacher Lecturer or Head Teacher
